Overview
This Cancellation & Refund Policy applies to RiskRegisterHQ Cloud SaaS subscriptions. You can cancel your subscription at any time. Please read this policy carefully to understand how cancellation works, refund eligibility, and what happens to your data.
Payment Processing & Refunds: All subscriptions and refunds are managed through Paddle (https://paddle.com), our payment processor. Paddle handles billing, refunds, and payment compliance. All refunds are governed by Paddle's Refund Policy.
1. 30-Day Money-Back Guarantee
If you are not satisfied with RiskRegisterHQ Cloud within 30 days of your initial purchase, you qualify for a full refund of your subscription fee.
Eligibility
- • First-time subscribers only (one refund per email address)
- • Refund request must be made within 30 calendar days of initial purchase
- • Available for any reason - no questions asked
How to Request
- 1. Email support@riskregisterhq.com with subject line: "30-Day Refund Request"
- 2. Include your account email address
- 3. Optionally include feedback on why you're requesting a refund
- 4. I will process your refund within 2 business days
Refund Processing
- • Refunds are issued through Paddle to your original payment method
- • Processing time: 5-10 business days from approval
- • Your account access will be immediately suspended
- • Full refund includes the entire subscription fee (minus any taxes or fees if applicable)
Important Note
This 30-day guarantee applies only to the initial purchase. Renewal charges do NOT qualify for the money-back guarantee. However, you can cancel before renewal without penalty.
2. How to Cancel Your Subscription
You can cancel your RiskRegisterHQ Cloud subscription at any time using either method:
Method 1: Self-Service (Recommended)
- 1. Log in to RiskRegisterHQ Cloud at app.riskregisterhq.com
- 2. Go to Settings → Billing → Subscription
- 3. Click "Cancel Subscription"
- 4. Confirm your cancellation (optional: provide feedback)
- 5. You will receive a cancellation confirmation email
Method 2: Email
Email support@riskregisterhq.com with:
- • Subject: "Cancel Subscription"
- • Your account email address
- • We'll process your cancellation within 24 hours
Cancellation Confirmation
After cancellation, you will receive an email confirmation with:
- • Cancellation date and effective date
- • Your final billing date
- • Data retention grace period information
- • Data export instructions (if needed)
3. When Cancellation Takes Effect
Important: Your cancellation is processed immediately, but your subscription benefits continue through the end of your current billing period.
Timeline
- • Day 1: You submit cancellation request
- • Immediately: Cancellation is confirmed and processed
- • Until End of Period: You retain full access to RiskRegisterHQ Cloud
- • End of Billing Period: Your access ends; you are no longer charged
Example Scenario
If your subscription renews on April 1st and you cancel on March 15th:
- • March 15: You submit cancellation
- • March 15 - April 1: You have full access
- • April 1: Your access ends; you will NOT be charged
4. Auto-Renewal & Renewal Charges
How Auto-Renewal Works: Your RiskRegisterHQ Cloud subscription automatically renews at the end of each billing period (annually) unless you cancel.
Renewal Process
- • 30 days before renewal: You will receive a renewal reminder email
- • On renewal date: Paddle will automatically charge your payment method
- • After charge: You will receive an invoice/receipt
Stopping Auto-Renewal
To stop auto-renewal and avoid renewal charges, cancel your subscription before the renewal date using the methods above.
After Cancellation
- • You will not receive renewal reminders
- • Your payment method will NOT be charged
- • You will retain access until the end of your current period
5. Refund Policy
Paddle Refund Governance
All refunds for RiskRegisterHQ Cloud are processed and governed by Paddle, our payment processor. Refunds are subject to Paddle's Refund Policy available at: https://www.paddle.com/legal/refund-policy
In the event of any conflict between this cancellation policy and Paddle's refund policy, Paddle's refund policy takes precedence. You can also contact Paddle directly at hello@paddle.com for refund inquiries.
Refunds Available
- • 30-Day Money-Back Guarantee: Full refund for initial purchases within 30 days (see Section 1)
- • Legal Refunds: If required by consumer protection laws (GDPR, CCPA, etc.)
Refunds NOT Available
After the initial 30-day period, refunds are not available for:
- • Cancellations after 30 days
- • Unused subscription time or partial billing periods
- • Dissatisfaction with features or functionality
- • Missing or expected features
- • Change of mind or business decisions
- • Downtime or service interruptions (covered by 99.9% SLA target)
Legal Refund Requests (Consumer Protection)
If you believe consumer protection laws in your jurisdiction entitle you to a refund:
- 1. Contact support@riskregisterhq.com within 14 days of the charge
- 2. Include: jurisdiction, applicable law, account email, transaction date
- 3. Explain why you believe a refund is required under law
- 4. I will review and respond within 5 business days
Non-Refundable Charges
The following are explicitly NON-REFUNDABLE:
- • Taxes, VAT, GST, or sales tax
- • Payment processing fees (charged by Paddle)
- • Currency conversion fees
- • Data export or migration services
6. Your Data After Cancellation
30-Day Grace Period
After cancellation, your RiskRegisterHQ Cloud data is retained for 30 days. During this period, you can:
- • Request a data export of your risk register
- • Reactivate your subscription to restore access
- • Log in to download any information
Data Export
You can request an export of your risk register data at any time - before or after cancellation.
- • Email: support@riskregisterhq.com with subject "Data Export Request"
- • Formats available: CSV, JSON
- • Processing time: 2-5 business days
- • Export will be sent to your registered email
Permanent Deletion
After 30 days:
- • All your risk register data is permanently deleted
- • Deletion is irreversible
- • Backup copies deleted within 60 days
- • Your account email retained for 7 years for tax/legal compliance
Data During Grace Period
If you reactivate within the 30-day grace period, your data will be fully restored with no loss.
7. Payment Failures & Automatic Cancellation
When Payment Fails
If your payment fails at renewal (declined card, expired payment method, etc.):
Retry Schedule
- • Day 1: Initial payment attempt fails
- • Days 1-3: Paddle retries payment (automatic)
- • Days 4-10: Additional retry attempts
- • Day 30: If still unpaid, subscription automatically canceled
What You'll Receive
- • Email notifications from Paddle about payment failures
- • Instructions to update your payment method
- • Warning about upcoming suspension if payment not resolved
Account Status During Failed Payment
- • Days 1-20: Full access with payment failure notifications
- • Days 21-30: Limited access (warnings displayed)
- • Day 30+: Subscription suspended and then canceled
To Prevent Automatic Cancellation
Update your payment method immediately when you receive failure notification. You can update your payment method through:
- • Paddle's customer portal (link in email)
- • Your RiskRegisterHQ Cloud account settings
8. Reactivating Your Subscription
During 30-Day Grace Period
You can reactivate your subscription within 30 days of cancellation:
- 1. Log in to RiskRegisterHQ Cloud
- 2. Click "Reactivate Subscription"
- 3. Confirm payment through Paddle
- 4. Your account and data are immediately restored
After 30-Day Grace Period
Your data has been deleted. To use RiskRegisterHQ Cloud again:
- • Create a new account at riskregisterhq.com
- • Start a new subscription
- • Your previous data cannot be recovered
Previous Subscribers
If you previously subscribed and canceled, you are eligible for a new 30-day money-back guarantee when you resubscribe.
